Summary

Once you've decided to the convert your data, the biggest problem you face is cleaning up your data. This is what takes the most time. The more you can do yourself, better.

 

Error Checking Your Data

Be sure to run these procedures for all databases, including your Reject database. If you have trouble with any of these, contact Kemp’s Case Works (KCW) to assist you!

For database conversions, be sure to send KCW a list of your:

1) Funding Codes - Number and Description
2) Offices - Number and Name
3) County Names or Codes used
4) Codes for how the client found out or was referred to legal services
5) Source of Income Codes
6) Your Reason Rejected Codes, including the location and how they are marked
7) Any code used to designate Marital Status Codes

8) Advocates with:Advocates with a) Full name (First, Middle and Last) b) Initials (First, Middle and Last) c) Job Description (e.g., Attorney at Law, paralegal) and d) Whether or not they are a current employee

Make sure all cases have:

A Unique and Valid Case Number
A Date Opened
A Date Closed that is after the Date Opened
Cases with a Reason Closed have a Date Closed
Cases with a Date Closed have a Reason Closed
An LSC Approved Problem Code
A Client First Name and Last Name
A City or Unknown
A County or Unknown
A Race
A Sex (M for Male, F for Female, G for Organization)
A Case Number
A Valid State Abbreviation
A Valid Office Number
A Valid Funding Code
An Advocate that is on the list
An Address or Unknown
A Birth date and/or Age

Make sure case numbers in Staff, PBI, and Rejected cases do not duplicate each other.

Be sure the following do not begin with a blank space or garbage - brackets, asterisks, etc.:

Case Number
Last Name
First Name
City
County
Address

Are the following correct?

Problem codes follow the LSC problem codes
Reasons Closed are only A-K in Capitals or Blank for Open Cases
Sex is M or F or G (for Organization) in Capitals
Funding codes are the ones you are aware of (e.g., where did that 17 come from?)
Counties and Cities are spelled correctly (How many ways is one city spelled?)
Race types follow the LSC rules, W, B, A, N, H, O, or Equivalent
Type of Intake field is filled in with T, O, L, or I (telephone, other, letter, in-house)
How they found out about or were referred to legal services
Advocate Initials are accounted for and correspond to a person (How many initials do not match up with an advocate?)
An Age greater than 0 and less than 105, no negative ages
Income sources with approved letters, no 0 (zero) or other numbers
If the case number has the year for the first two digits, make sure that they are all correct, e.g., no 04-10070 as opposed to 94-10070.
No Date Opened before 1975 (possible exceptions)
No Negative Income Levels
No Date Closed after the current date
No Date Opened after the current date
How do you determine the primary income source if multiples are listed?

Lawyers Database:

No Lawyers without a unique, unduplicated number or identifier
No Attorney Numbers with a leading zero
All Lawyers have correct title (Mr., Ms., Mrs., or Hon. with the period!)
Salutations are John or Sally, not Mr. Smith or Dear Mr. Smith
Lawyer’s first and last names don’t begin with blanks
City and County don’t begin with blank
Did you want the Lawyers’ firms to be entered?
How are counties of practice and case specialties stored?
How is an attorney marked as active or inactive (on-panel)?
How is an attorney marked as being Judicare and/or pro bono?

Conflicts:

First and last name are in separate fields.
Organizational names go into LNADV.
Abbreviations are standard (Don’t enter the Social Security Administration 44 different ways!)
Are First and Last Names stored in separate fields
?

Time:

Time Record’s case number should match Matter, Supplemental Activity, an existing Case Number, Call Back number, or Eligibility Slip number.
If time records exist with Case Numbers that don’t match, make sure the cases have been entered.
Make sure that Time Records are not entered on cases that have been closed for more than one year.

In General:

No 0 (Zeros) entered for the letter O or vice versa
No 1 (Ones) entered for the letter L or vice versa
